Board Meeting

April 15, 2010

6:30 p.m.



Board Members present:  Michael Pope, Phil Horner, Matthew Studholme, Earl Brown, Rhonda Denham, Bob Townsend, Ruth Ketron, Donna Bays, and Mary Rodriguez


Members present:  Tom Murrell, Molly Allen, Frank Kibler, and Sam Culbertson


Approval of Minutes:  Matthew Studholme stated that the final draft minutes of the February and March meetings had been sent to each member of the Board and asked if there were any additions or corrections.  There being none, the minutes of the meetings were, upon motion duly made and seconded, approved as presented.


Treasurer’s Report – Mary Rodriguez

Race and Event Updates:


•      YMCA Bunny Hop 5k:  The weather was sunny, warm and no rain.  Good race with 134 finishers.


•      Take Back the Night 5k:  Good race that is becoming popular within the student community in Johnson City.  243 finishers this year.


•      Highlands Spring Chase 15k:  The results have been posted on the website.  The Race Director has stated that he is willing to add a second race, a 10-miler, to the calendar if the club is interested in adding a race to the Long Distance Series or he would be willing to change the distance of the 15k race to a 10 miler if that would be preferable.  After some discussion the Board decided to table the matter until the May meeting.


•      Run for TC 5 Miler:  Good trail race that was very reasonable on the amount of hill climbing.  Good first year turnout with 71 finishers.  Hopefully this race will become an annual event.


•      Virginia Creeper Marathon:  Another successful year with everything running smoothly, including the weather.  The race had 95 finishers from 12 different states.  Frank Kibler has received lots of positive comments about the volunteer and the beauty of the course.  Frank expressed his appreciation to the Club and to all the volunteers for their support of the marathon.


•      Golden Eagle 5k:  New race that was sponsored by Tri-Cities Christian School.  Well organized but very hilly.  Ruth Ketron was pleased with the “80 and Over” age category.  Sam Culbertson, Race Director, was present at the meeting and requested that the race be considered for the King & Queen Series for 2011.  Upon a motion duly made and seconded, the Board approved adding the Golden Eagle 5k to the list of 2011 King & Queen races. 


Upcoming Races and Events:


•      Laurel Run Ascent:  Scheduled for Saturday, April 17th at Laurel Run Park near Church Hill, TN.


•      Run the Tunnel:  Scheduled for Saturday, April 24th at Natural Tunnel State Park near Duffield, VA. 


•      Animal Chase Races:  Scheduled for Saturday, May 1st on the Creeper Trail at the Abingdon trail head.  Matthew Studholme has been the race liaison for several years but would be interested in passing it along to anyone else who might be interested.


•      Run the Gump 5k:  Scheduled for Saturday, May 1st in Johnson City.


•      FootRx 5k:  Scheduled for Saturday, May 8th in Johnson City.


•      New Balance Girls on the Run 5k:  Scheduled for May 8th at the Bristol Motor Speedway.


•      Holly Help Pet Miles:  Scheduled for May 15th at Steele Creek Park in Bristol, TN.


•      AmazinGrace 5k:  Scheduled for Sunday, May 23rd in Kingsport.  Phil Horner will confirm the Race Director still wants this event to be part of the King & Queen series.


•      Summer Track Meets:  The dates have not been established as of yet but it is intended for them to be held in July as usual.  Phil Horner will post the dates on the Event Calendar as soon as possible.


Other Business/Reports:


•      Outstanding equipment rental and race management invoices:    Payments for 2010 races are current.  SFTC has not received payment from the following 2009 races:  Clinch River 5k, Blue Plum 5k, Apple Fest 4 Miler, and the Jonesborough Parks and Recreation 5k.  Donna will forward the AppleFest invoice to Matthew Studholme for handling.


•      SFTC Brochure and Split Times:  Donna Bays reported that latest edition of Split Times will be forwarded to the printer within the next few days.  The SFTC Brochure will be printed at the same time.


•      Scholarships:   The Club has not received any questions or applications as of the meeting time.  Since this is a new program that is just being announced to the membership, the Board agreed to extend the filing deadline until May 15th.  Information is currently on the website.  Bob Townsend will send out an informational email blast to the membership and Donna Bays will submit an article for Split Times.


•      Race Entry Forms:  Matthew announced the website’s race entry form has been modified to allow Race Directors the choice of allowing participants to use headphone and push baby strollers.


New Business:


•      It has been discovered that the St. Anne’s 5k was inadvertently omitted from the list of 2010 King & Queen Series races.  Matthew Studholme will add the race to the King & Queen section of the website and Earl Brown will add the race results to the current King & Queen standings.


•      The Race Director for the Abingdon Main Street 5k has contacted Mary Rodriguez to request the Club to manage the finish line for the upcoming race.  Mary has agreed to be the race liaison again.  The Board agreed to accept the request.


•      The Summer Training Program will begin on Monday, April 26th.  Phil Horner offered Fleet Feet as the assembly point for the Program and said the he would provide water for the participants.  The Board expressed their appreciation of the offer.  Matthew Studholme will note the change on the website.


•      Fleet Feet presented a donation to SFTC in the amount of $250 in support of the scholarship program.  Phil Horner expressed his appreciation to SFTC for offering the program.


There being no further matters for discussion, the meeting was adjourned.  The next meeting of the Board will be at 6:30 p.m. on May 20, 2010 at the Eastman Employee Center in Kingsport.
