Board Meeting

November 18, 2010

 

 

Voting Board Members present:  Donna Bays, Earl Brown, Rhonda Denham, Jason Goodman, Phil Horner, Ruth Ketron, Michael Pope, Mary Rodriguez, Matthew Studholme, Bob Townsend.

 

Members and Guests Present:  Terry Barnett, Reese Bays, Barbara Bogart, Jennifer Brockett, Bill Dickerson, B.J. Gallatin, Ella Goodman, Nicole Goodman, Dan Hoyle, Sheri Nemeth, Rob Schoborg, Debi Secor, Karen Seiferth, Tim Seiferth, Mark Skelton, Jeff Stout, Oscar Wagner, Wendy Weidner.

 

Approval of Minutes:  Jason Goodman provided a brief summary of the special meeting of the Board on October 25.  He further stated that the final draft minutes of the special meeting as well as the regular October meeting had been sent to each member of the Board and asked if there were any additions or corrections.  There being none, the minutes of the meetings were, upon motions duly made and seconded, approved as presented.

 

Treasurer’s Report

 

            Total Income since last report:       $  2,031.47 

            Total Expenses since last report:  $     235.18

            Total Assets as of 08/17/2010:       $22,310.57

 

Outstanding Invoices: The Board reviewed and discussed the matter of outstanding invoices for 2010.  Specifically, the Board discussed the Apple Festival 4 Miler race.  Due to the difficulties SFTC had with tabulating the results in a timely fashion, the Board, upon motion duly made, seconded and approved, agreed to waive all SFTC fees for the 2010 race.

 

Recent Race and Event Updates:  Brief reports were provided for several recent races including Roan Mountain 10k, Race for the Cure, Haunted Half Marathon, Duck Island Fall Mile, Bridge and Trestle Run, YWCA Turkey Trot, BAE Half Marathon, and the Speedway in Lights 5k.

 

Several upcoming races were briefly discussed; including the Ferguson “Freeze” 5k, Santa Special Animile and Open Mile, Chase the Turkey 5k, Turkey Trot, Girls on the Run 5k, Pioneer 5 Mile Run, and the New Years Day Wake-Up Run.

 

Election and Awards Ballots:  Bob Townsend reported on the results.  Several ballots were post marked on November 15, the stated deadline, but were received by the Club after November 15.  After much discussion, the Board agreed to count all ballots that were either hand delivered to the Club on or before November 15 or postmarked on or before November 15.

 

SFTC Awards Banquet:  Oscar Wagner updated the Board regarding completed and open task items regarding the Awards Banquet.

 

2011 Competition Series: The Board next discussed the rules and races regarding the various 2011 competition series.  Including:

 

1)         King & Queen Competition:  The Board discussed various issues regarding the K&Q Competition including the amount of time to administer the competition in relation to the number of members to qualify for awards.  After much discussion the following motions were made, seconded and approved:

 

            To participate in the King & Queen Competition, members must sign up by notifying the King & Queen Coordinator of their wish to participate.  If notice is received by the King & Queen Coordinator before the War Party 10k then all King & Queen races for that calendar year will be counted toward the competition.  If notice is received by the King & Queen Coordinator after the War Party 10k then only races held after the notice was received will be counted toward the competition for that calendar year.

 

            In addition to other requirements, participants in the King & Queen Competition must earn at least five volunteer points within the current calendar year.  Three of the five volunteer points must be earned at races that are either owned by SFTC or SFTC is hired for finish line management.

 

2)         Trail Series:  After discussion the following motions were made, seconded and approved:

 

            In addition to other requirements, participants in the Trail Series Competition must earn at least five volunteer points within the current calendar year.  Three of the five volunteer points must be earned at races that are either owned by SFTC or SFTC is hired for finish line management.

 

            The Phipps Bend River Run is to be added to the list of Trail Series Competition races.

 

3)         Kids Festival of Miles:  After discussion the following motion was made, seconded and approved:

 

            Pending certification, the Dash for the Cure is to be added to the list of Kids Festival of Miles races.

 

4)         Adult Mile Series:  After discussion the following motions were made, seconded and approved:

 

            In addition to other requirements, participants in the Adult Mile Series Competition must earn at least five volunteer points within the current calendar year.  Three of the five volunteer points must be earned at races that are either owned by SFTC or SFTC is hired for finish line management.

 

5)         Long Distance Series:  After discussion the following motion was made, seconded and approved:

 

            The Bluegrass Half Marathon, Phipps Bend River Run and the Highlands Spring Chase (if changed to a 10 mile race) are to be added to the list of Long Distance Series races.

 

Chip Timing System:  Matthew Studholme reported that he has not received a date as to when the new chip timing system will be shipped by the manufacturer.

 

Request for new King & Queen Race:  Oscar Wagner requested the Board to consider adding the Octoberfest 5k to the 2011 King & Queen calendar.  The request failed to receive a motion for approval.

 

Race Walk Report:  Ruth Ketron applauded the organizers of the YWCA Gobblers Gait 5k for their efforts in promoting the race walk which included a training program.  Seventy-six walkers participated.
