Board Meeting

April 14, 2011

Approval of Minutes: Matthew Studholme stated Sheri had sent out minutes from March 2011 meeting to all Board members.  The minutes of the meeting were, upon motion duly made and seconded, approved as presented.

Outstanding invoices from 2010:  Rhythm & Roots (Tom Murrell to contact Lea Ross), Jonesborough Parks & Rec. 5K (Jason sent e-mail), and Race for the Cure.


2011 Creeper Marathon:


Frank updated the group on the 13th Creeper Marathon.  There were 102 starters and 102 finishers for this year’s race.  Frank provided comments from and e-mails to Frank.  All were positive about the beauty and friendly volunteers.  Already have 12 entries for next year.  Frank encourages everyone to enter and get on waiting list even if the marathon is closed. 


Chip Timing:


Our 2nd chip timing event was the Golden Eagle 5K.  It was complicated due to the fact it was a loop course where the runners passed close to the mats three times before the finish.  Matthew put up an aluminum barrier which worked.  We picked up no misreads.  One person fell and we picked him up 50 times but only recorded once.  The next chip timed race is the Hope 4 on May 21.  Bob agreed to enter the data for this race ahead of time.


Matthew and Donna discussed setting up another Runscore/chip timing class.  It will need to be around four hours in length.  Matthew will probably limit to around 12 people.  Donna agreed to reserve a room for either Monday or Tuesday at Eastman Employee Center and will post on the event calendar.




New Races presented to SFTC for management support:


Bob Townsend requested the Board approve the chip timing system for the YMCA Greenville August 27th race.  This is an established K&Q race.  Bob will enter data.  We will wait to see if they will agree to the fee and the Board will review the next meeting.


Ruth Ketron presented a request from Bobby Baker, race director National 5K race walk on Oct. 1st.  It usually conflicts with Applefest but this year the Applefest race is Oct. 8th so no conflict.  The race is a 1K loop that they do five times.  They anticipate around 75 entrants.  They want to use Runscore.  Sheri Nemeth volunteered to be race liaison.  A motion was made to approve supporting this race, seconded, and approved by the Board. 


Tom Murrell presented a new 5K race in Bristol that will be held in Steele Creek.  Not sure if they want our help.


Michael Pope mentioned that the Snap-On race will be in the fall and the organizer will want Matthew’s help in course certification.


Phil Horner wants the Red, White and Boom 4 miler chip timed.  Matthew will be the race liaison.  The e-mail vote approved the race.


The Great Escape 5K wants an Oct. 8th date which is the same day as Applefest.  We need a liaison to support this race.  Only 30 runners last year so easy race.  Bob Townsend suggested contacting Jonathan Davis to help. 


New Business:


A discussion was held about the Creeper Trail 10 miler er.. 10.4 miler.  Earl is going to score it as a 10 miler.    


Phil Horner has agreed to organize and support the summer track meets.  He will get with DB and finalize the dates.


Kids Festival of Miles coordinator is Steve Pastorek.  The scoring is in Access database which Matthew has had a difficult time to get it to work.  It really requires someone with knowledge of Access or to find another way to score.  Steve is asking that someone else take this on.  Usually takes 30 min to an hour to score.  Michael Pope agreed to review the database and may take it over.
