Board Meeting

Approval of Minutes: Matthew Studholme stated Sheri had sent out minutes from May 2011 meeting to all Board members.  The minutes of the meeting were, upon motion duly made and seconded, approved as presented.

Outstanding invoices from 2010:  Rhythm & Roots (Tom Murrell to contact Lea Ross) and Jonesborough Parks & Rec. 5K (Sheri will visit Rachel – Parks & Recs coordinator for JB). 2011 invoices are current.


Finish Line Management:


Run4Hope chip timing went well and the event was well organized.  Jon & Shaun expressed appreciation to the track club for their help.  May 19th is the date for 2012 and they would like the club to help with this event.  The partnership between the club and Run4Hope worked extremely well.  Run4Hope donated $2,800 to the American Cancer Society.


Clyde Kidd formally requested SFTC manage the finish line for the CBC 5K Run-Walk race on 9/18 at 5:00pm in Johnson City.  This is a new race expecting between 150 -200 runners.  They would like to use RunScore and plan to certify the course.  Michael Pope volunteered to be the race liaison.  A motion was made to manage the finish line, seconded, and approved as presented.


The Good Samaritan has been renamed the GO for Good 5K.  Michael Pope stated the race is moving forward with no issues.  July 9th.


Matthew was contacted to support a timed race walk in October in Kingsport.  The organizers want the club to own the race but they would take all of the profits.  A motion was made to decline the opportunity, seconded, and approved with one dissenting vote. 


SFTC is doing chip timing for the Red, White, and Boom 4 miler July 4th.   Phil wants to use his own bibs starting at #1.  Our tags start at 2000 so Matthew proposes we use these for SFTC bibs and purchase more tags for the big races that want chip timing.  The club would start with 600 tags and replenish the numbers as they are used.  This would be the rotating, base stock for future chip timed races.   SFTC is also managing the Eastman race which will pay use ahead of time for the tags due to the large number needed.  A motion was made to buy 600 tags, seconded and approved.   


Eastman would also like the club to time the Kids Mile on Friday night (Sept. 9th).  This would be a card system vs. chip timed.  They would be entered into RunScore but not providing tags so Eastman would pay the club $2/runner to enter the runners.  We would have access to entering the runners over several days.  There is no race day entry for the main race but SFTC is present on Friday evening to enter the late registrations.  The Youth races are broken into 3-4 age groups with 30-40 runners in each event.  Matthew will post a request on the website asking for a race liaison volunteer.  A motion was made to support the Eastman Youth races providing a race liaison is identified, seconded, and approved.


Dr. Ruth presented the entry form for the 5K USATF National Championship on Oct. 1.  The Big Brothers and Big Sisters 5K had 228 runners.  Covered Bridge had 49 walkers.  Don’t Walk the Boat 5K at Netherland Inn is a first time race – next Saturday. 


Summer Track Meets:


Dates have been set – 7/5, 12, 26.  Tom Murrell suggested we add a timed adult 5K and call it a club champion with recognition in the age groups.  A suggestion was made to cut out the 3200 and replace with the 5k in one meet.  We could use the chip timing system to count the laps.  A discussion agreed to limit the race to any SFTC club member and 40 entrants.  It was suggested we also give awards.   Tom will organize the details of the race including entry forms.  No race day entry.  Matthew made a motion to hold a SFTC championship 5K race on July 12th at the DB track meet, seconded, and approved. 


SFTC Banner:


The banner is missing.  Matthew will post a request on the website for its return.  Tom Murrell volunteered to get two quotes for a replacement banner if needed. 


RunScore/Chip Timing Class:


Matthew will contact Donna to set up a room at Eastman for the class and post it on the website.


Kids Festival of Miles Coordinator:


Kids Festival of Miles is still looking for a coordinator.  Matthew will send copies of the Access database to Michael.  Matthew will also post on the website to see if anyone is interested in taking on the role.


Never Quit Never Beach Race:

Dan Hoyle provided an overview of a great beach race, fastest growing race in the US.  All day event including free clinics and after race free food and drink.  Great SWAG.  SFTC bus trip next year!
